Definition

A clash week

is a week when 2 or more events your buyers attend run in the same city or on the same days. In Las Vegas, a clash week means higher hotel rates, meeting space near the venues booked early, and buyers who came for one event filling their calendars with another.

Venue type changes how you plan the week:

VenueWhat it isWhat it means for your plan
Las Vegas Convention CenterA standalone convention campus off the Strip, with North, Central, South and West hallsLarge trade shows. Budget time to get to hotels and dinners on the Strip, and pick a hotel with a short ride to your hall.
Caesars Palace, Mandalay Bay, Aria, Bellagio, Wynn and EncoreConference centers inside resort hotels on the StripConferences where sessions, meals and parties stay on one property. Meetings happen in lobbies, restaurants and suites.
The Venetian Expo and Caesars ForumLarge exhibit halls next to resort hotels on the StripExpo floors with hotel rooms upstairs. Meeting space near the hall sells early in busy weeks.

How to plan a Las Vegas event program

Sellers and marketers we interviewed describe 2 sides of Las Vegas. The city puts many of your target accounts in one place in the same week. It is also loud: receptions every night, long walks between resorts, and buyers who are booked from breakfast to midnight. Teams that do well there arrive with meetings already on the calendar and host something small.

Workflow
A Las Vegas event, from approval to the next-year decision
  1. Step 1, Pick the week (6 to 12 months out): Choose the event and check what else runs that week.
  2. Step 2, Budget the trip (Before approval): Booth or passes, hotel, meeting space, a dinner or suite, staff time.
  3. Step 3, Book rooms and space (As soon as approved): Hotel near your venue, a meeting suite or a private dining room.
  4. Step 4, Book meetings (4 to 6 weeks out): Rank the attendee list, write to target accounts, confirm a place for each.
  5. Step 5, Work the floor (Event days): Meetings grouped by property, every conversation captured with a note.
  6. Step 6, Follow up (Within 48 hours): First email from the person who met them, with the next step.
  7. Step 7, Attribute (Day 2 to day 90): Sourced and influenced pipeline on the event campaign.
  8. Step 8, Decide on next year (Day 90): Return, change format, or drop, based on cost per opportunity.
Week counts are a planning example for a major conference. Add 2 to 4 weeks in a clash week.

1. Pick the week before you pick the booth

Look at the whole week around your event. If 2 events your buyers attend run back to back, one trip can cover both. If your event shares a week with a larger one, your buyers may come for the other event and give you an hour.

Check 3 things for each candidate:

  • Who attends. Pull last year’s sponsor and speaker lists and match the companies against your target accounts.
  • What else runs that week. The busiest-weeks table above is a start, and the Las Vegas convention calendar lists every dated event.
  • Whether you can fill the calendar. If you cannot see 10 or more target-account meetings, attend first and sponsor later.

The event selection scorecard turns those checks into a yes or no.

2. Budget the whole trip

The booth or pass is one line. List every line, so finance can check the budget:

  • sponsorship, booth space or passes;
  • booth build, shipping, drayage and electrical, for an expo floor;
  • hotel rooms at convention-week rates;
  • a meeting suite, a private dining room or a hospitality suite;
  • flights, ground transport and meals;
  • staff time away from selling, which teams often leave out.

Price the whole event before approval, then judge it by cost per opportunity. The event ROI calculator does the arithmetic, and B2B event cost per opportunity explains the inputs.

3. Choose the format

FormatWhat you pay forWorks when
Booth on the expo floorSpace, build, staff, passesYour buyers walk the floor and you can fill the booth calendar with meetings
Hospitality suite in a resort hotelSuite rental, food and drinkYou have 20 to 50 accounts to host and want a quiet place to meet
Dinner or private dining roomA table for 10 to 20 near the venueYou want a small room of senior buyers who already know your team
Passes onlyPasses and travelYou are testing an event before a sponsorship year

Security and technology vendors we spoke with run Las Vegas events without a booth, using a hospitality suite for meetings. Suites are easy to book in the resort hotels, and buyers can step out of the conference for 30 minutes. Event dinners and side events that book meetings covers how to fill one.

4. Book meetings 4 to 6 weeks out

Meetings decide whether a Las Vegas trip pays back. Without them, the booth gets walk-up traffic from whoever passes by.

  1. Get the attendee list as soon as the organizer releases it, and rank it against your ICP.
  2. Write from the person who will attend, naming the event and a time and place.
  3. Confirm a place on a named property. “Coffee at the Venetian Expo, Hall C entrance, 10:30” is easier to find on a busy day than “at the event”.
  4. Group meetings by property. A meeting at Mandalay Bay and the next one at the Las Vegas Convention Center leave no time between them.

5. Work the floor and capture every conversation

Las Vegas days run long, and notes taken at midnight are thin. Capture each conversation when it ends: who, which account, what they said, the next step. Booth capture attaches the note to the account in Salesforce or HubSpot, so the follow-up does not wait for someone to type up cards after the event.

6. Follow up within 48 hours

In February and March, the next busy Las Vegas week starts 7 days later, and your buyer may be at it. Send the first follow-up from the person who met them, with the specific next step, within 2 days.

7. Attribute, then decide on next year

Put every person you met on the event campaign and match them to their account. Then report sourced and influenced pipeline at 30, 90 and 180 days, and decide whether to return, change format or drop the event. Post-event attribution shows how Luminik writes those fields to the Opportunity or Deal.

Las Vegas trade show planning FAQ

How do you plan a trade show in Las Vegas?

Pick the week first and check what else runs then. Budget the whole trip: booth or passes, build and drayage, convention-week hotel rates, meeting space and staff time. Book meetings 4 to 6 weeks out with a named place on a named property, and follow up within 48 hours. Every Las Vegas event by date is on the Luminik Las Vegas convention calendar.

What is the busiest month for conventions in Las Vegas in 2027?

March, with 41 events, followed by February with 33, among the 163 Las Vegas events with 2027 dates in the Luminik catalog. The busiest weeks start Monday, February 15 and Monday, March 15, 2027.

Which Las Vegas venue hosts the most conventions in 2027?

The Las Vegas Convention Center, with 29 scheduled 2027 events across its halls. Caesars Palace (17) and Mandalay Bay (16) follow.

How early should you book meetings for a Las Vegas conference?

Start outreach 4 to 6 weeks before the event, and earlier in a clash week, when buyers attend 2 or 3 events in the same trip. Confirm each meeting with a place on the property where it happens, since walking between resorts can take longer than the meeting.
