Lead retrieval apps compared

8 lead retrieval apps compared: Luminik books meetings before the scan

Each lead retrieval app here captures a badge at the booth. Luminik also sources the attendee list 6 weeks earlier and writes the pipeline to Salesforce or HubSpot.

2 kinds of app

Official apps reset every event, and scanners stop at the lead

Event-provided apps

Access

Cvent LeadCapture, Maritz and ATS are offered by the organizer or its registration contractor for that event.

At the booth

Cvent LeadCapture and ATS include qualification questions and notes.

Where it stops

At a portal, an export or a CRM connector for that one event. The next event starts from zero.

Universal scanners

Access

iCapture, Popl, Mobly, Captello and Momencio are licensed by your company for use across events.

At the booth

Read badges, business cards and QR codes, then enrich the record. Several also connect to event badge data.

Where it stops

At the lead record in your CRM. Follow-up and reporting vary by app.

Before you order

5 checks decide if booth leads reach sales the same week

01

Who runs lead retrieval at each event on your calendar?

The exhibitor manual names the provider. If one provider covers several of your events, check that a universal app can read those badges.
02

Does the app sync to your CRM, or export a file?

A portal export means someone uploads and assigns owners after the event. Ask which CRM objects the sync writes.
03

Is each lead matched to an existing account?

A new Lead record for a contact at a customer, or at an account with an open deal, is cleanup work for RevOps the week after.
04

Does it work when the hall Wi-Fi drops?

Check the offline column above, and ask the providers that do not state it.

What Luminik does

Luminik books meetings before the scan and counts pipeline after it

The attendee list 6 weeks before the event

Luminik sources attendees from 6 weeks out, scores them against your ICP and starts outreach in your reps' Apollo or Outreach sequences. Reps arrive with meetings booked and the target list on their phones.

Each scan matched to the account it belongs to

Capture from a badge, business card, LinkedIn screenshot or voice note, offline. Each lead is matched to existing Salesforce or HubSpot records first, with the booth notes, the voice note transcript and the pre-event ICP score attached, so the rep sees customer status, account owner and open deals on the spot. RevOps has fewer duplicates to merge.

Pipeline counted in the CRM within 48 hours of event close

Sourced and influenced pipeline is written to custom Opportunity fields you name, or HubSpot Deal properties, within 48 hours from event end. The event number sits in the same report as the rest of the quarter.

Plans start at $299 a month, month to month, with unlimited users, including booth reps. Annual event and enriched-match allowances apply. Compare the 3 plans.

The gaps

Capture apps stop at the lead, and the work after lands on RevOps

The table shows what each app does. These are the gaps it leaves.

Official apps reset with every event

Cvent LeadCapture, Maritz and ATS are offered by the organizer, one event at a time. Nothing carries over to your next event.

Maritz names no CRM

Leads come through a portal to view, sort and download, so someone uploads the file and assigns owners afterwards.

3 apps do not state offline capture

Cvent LeadCapture, Maritz and ATS say nothing about capture when the hall Wi-Fi drops. Ask before the event.

No scanner sources the attendee list

Popl's Event Intelligence predicts attendees from exhibiting companies, and Mobly's Scout ranks events. Neither sources the full attendee list before the event.

In their words

iCapture users report Salesforce setup work and sync drops

“Initially, setting up iCapture was quite time-consuming, particularly due to the need to correctly integrate it with Salesforce.”
G2 reviewer

“I dislike how iCapture randomly cuts out when syncing, especially when connecting to hotel wifi.”

Fit

Match the app to how many events you exhibit at each year

Use the official app if

Event marketing

You exhibit at 1 or 2 events a year, and the organizer controls badge access.

Sales and SDRs

A lead export after the event is enough to start follow-up.

RevOps

Someone can upload the file and assign owners the week after.

Use a universal scanner if

Event marketing

You exhibit at several events and want one app your reps already know.

Sales and SDRs

Follow-up can wait until after the scan.

RevOps

Your CRM is on the app's list, including Dynamics, Zoho or Pipedrive where you need them.

Use Luminik if

Event marketing

You want the attendee list sourced and ranked before the event, with booth capture for unlimited reps.

Sales and SDRs

Reps book meetings from Apollo or Outreach before the event and follow up in the same sequence.

RevOps

You use Salesforce or HubSpot and want sourced and influenced pipeline on the Opportunity or Deal.

Switching

Keep the official app where an event requires it, and add Luminik

Where an event requires its official app, keep it. Luminik takes the export.

01

Connect Salesforce or HubSpot

Each lead is matched to an existing contact or account before a new record is created.
02

Connect enrichment and your sequencer

Your Apollo, ZoomInfo or Cognism seat, and the sequencer your reps already use.
03

Import the official app's export

Luminik takes the lead export, as it does for Cvent LeadCapture. Everywhere else, booth reps scan with the Luminik app.

FAQ

Lead retrieval app pricing and badge access, by vendor

What is the best lead retrieval app for trade shows?

It depends on the event and the CRM. Where the organizer offers an official lead retrieval app, such as Cvent LeadCapture, Maritz, or ATS, that is the app the event itself provides. For one app across every event, compare iCapture, Popl, Mobly, Captello, and Momencio on CRM sync, offline capture, and pricing in the table above. Luminik adds attendee sourcing and pre-event outreach before the scan, and pipeline on the Opportunity or Deal after it.

Which lead retrieval apps publish their pricing?

Of the apps on this page, Momencio publishes pricing: $100 per seat a month on its Capture plan, with a 5-seat minimum billed annually. iCapture, Popl, and Mobly do not publish prices. Captello has no price list, though its comparison pages cite a one-event lead capture license from $500. Popl states it charges no per-user, per-seat, or per-scan fees. Cvent LeadCapture, Maritz, and ATS do not publish prices on the pages we read. Luminik publishes its tiers, from $299 a month.

Can we use our scanner app instead of the official one?

Universal apps read what is printed or encoded on the badge or card, then fill the gaps through enrichment. Several also connect to the event's badge data: iCapture lists integrations with 130+ badge providers, Captello connects to 300+ registration platforms, and Momencio connects to 20+ event APIs that you buy from the organizer. Check each event's exhibitor manual before you choose.

Which lead retrieval apps sync to Salesforce and HubSpot?

iCapture, Popl, Mobly, Captello, and Momencio name both; Luminik also writes to both. Momencio lists CRM integration as an add-on. For event-provided apps, confirm the exact connector or export with the organizer.

Does Luminik replace the official lead retrieval app?

Where badge access requires the event’s official app, keep that app or the organizer’s approved integration. Luminik takes its lead export, as it does for Cvent LeadCapture, matches each lead to existing Salesforce or HubSpot records, and attaches the booth notes. At events without an official app, the Luminik app scans QR codes and badges directly.
